Privacy Policy & Terms & Conditions

This page explains how Ascend Esports collects and uses information submitted through our Summer Camp 2026 registration, and the terms that apply when you enrol a child in one of our camps.

Last updated: 7 June 2026

1. Privacy Policy

Ascend Esports ("Ascend", "we", "us" or "our") respects your privacy and is committed to protecting the personal information of parents, guardians and the children enrolled in our programs. This Privacy Policy describes what information we collect through this website and our Summer Camp 2026 registration form, why we collect it, and how it is used, stored and protected.

Information we collect

When you submit our camp registration form, we collect the information you choose to provide, which may include:

  • Parent / guardian name, email address and phone / WhatsApp number
  • Child's name, age and the program/track you are interested in
  • City, and any optional notes you share (for example preferred dates, allergies or medical needs relevant to your child's safety during camp)

Registration submissions are processed securely via Web3Forms and delivered to our team's email inbox. We do not use cookies or third-party advertising trackers on this page beyond the standard, privacy-respecting font delivery from Google Fonts and image hosting required to display the site.

How we use your information

We use the information you submit only to:

  • Respond to your enquiry and confirm camp bookings and availability
  • Plan suitable groupings, tracks and accommodations for each child (including any medical or dietary needs you share with us)
  • Communicate important updates about the Summer Camp 2026 program via email, phone or WhatsApp
  • Maintain our own administrative and safeguarding records

We do not sell, rent or trade your personal information to third parties. Information is shared only with the Ascend staff and instructors directly involved in delivering and supervising the camp, and only to the extent necessary to do so safely.

Children's information

Our camps are designed for children aged 5–16, and registration is always completed by a parent or legal guardian — never directly by a child. Any information about a child that is submitted through our form is provided voluntarily by that child's parent or guardian for the sole purpose of safely enrolling and supervising them during the camp. We retain this information only for as long as reasonably necessary for camp administration, safeguarding records and legal/regulatory requirements, after which it is securely deleted.

Your rights & choices

You may, at any time:

  • Ask us what personal information we hold about you or your child
  • Ask us to correct inaccurate information
  • Ask us to delete your information, where we are not legally required to retain it
  • Withdraw consent to be contacted about future camps and programs

To exercise any of these choices, please contact us using the details below and we will respond within a reasonable timeframe.

2. Camp Terms & Conditions

By submitting a registration for Ascend Esports Summer Camp 2026, the parent or guardian completing the form confirms that they have read, understood and agree to the following terms on behalf of themselves and the enrolled child.

Enrolment, places & payment

  • Submitting the registration form is a request to reserve a place and does not itself guarantee enrolment. Places are limited and confirmed on a first-come, first-served basis once our team has been in touch to verify details and availability.
  • Program dates, tracks, groupings and instructors may be adjusted where necessary (for example due to age groupings or minimum class sizes), and we will always inform you of any material changes affecting your booking.
  • Fees, payment schedules and cancellation/refund terms will be confirmed directly with parents/guardians during the booking confirmation process.

Health, safety & conduct

  • Parents/guardians are responsible for disclosing any medical conditions, allergies or additional support needs that may affect their child's participation, using the "Anything we should know?" field on the registration form or by contacting us directly.
  • All materials, kits and equipment used during camp activities are provided by Ascend and remain subject to our staff's safety guidance and supervision at all times.
  • We expect every participant to engage respectfully with instructors and fellow campers, in keeping with Ascend's wellness-focused, inclusive approach to learning.

Photography & showcase

Each camp concludes with a Final Showcase where participants present their projects to family and friends. Photographs or videos may be taken during sessions and the showcase for Ascend's own promotional and archival purposes (such as our website and social media). If you do not wish your child to be included, please let our team know in writing before the camp begins and we will accommodate your preference.

Take-home projects & certificates

Participants take home the project they personally build or create during the camp (for example a robot, game build or design), along with a course completion certificate awarded at the Final Showcase, subject to satisfactory participation throughout the program.

Changes to these terms

We may update this Privacy Policy and these Terms & Conditions from time to time to reflect changes in our programs or applicable regulations. The "Last updated" date at the top of this page indicates when this version took effect. Continued enrolment in our programs after changes are posted constitutes acceptance of the revised terms.
